Position Summary
The URW Tenant Coordination Team is a highly specialized and technically skilled team who support the best-in-class physical shopping destinations in the US. We are seeking a Design/Construction professional to support our Leasing efforts through design and construction expertise to expedite Landlord’s Construction Work and oversee the Tenant Improvement process from concept to opening. The position will report to the Regional Director of Tenant Coordination within the US portfolio that consists of 16 Flagship Shopping Centers.
The Project Manager, Tenant Coordination leads the store opening and remodeling processes at the World Trade Center and Fulton Center, including Landlord work, work letter negotiation, plan reviews, permit expediting, and on-site construction coordination. This position will serve as the functional expert regarding the base building and associated systems, Tenant Design Criteria, Tenant Construction “Rules and Regulations”, and jurisdictional requirements. The Project Manager coordinates with the Tenant, Leasing Representatives, Authorities Having Jurisdiction and Center Operations teams to ensure each deal and Tenant opening aligns to business objectives and meets or exceeds projected opening dates.
Essential Duties
Prospecting, Estimating and Feasibility Studies
- Supports Leasing efforts during the deal-making process to ensure that proposed Tenant spaces and uses are feasible and align with overall base building and center strategies by confirming existing conditions and reviewing Tenant work letter requirements.
- Completes feasibility studies, identifies and produces applicable Landlord Scopes of Work and cost estimates.
- Establishes milestone schedules and Landlord budgets in preparation for submission to URW Real Estate Committee for deal approval.
Approved Deals, Lease Negotiation and Landlord Work
- In conjunction with the Legal and Leasing teams, review, negotiate and finalize lease language establishing project milestones, space delivery dates, space delivery conditions, and Tenant work requirements.
- Shepherds new and existing Tenants through the plan review and permitting process by creating milestone schedules for Tenant plan submittal, advising on permitting requirements, and being the liaison between the Tenants and the AHJs.
- Reviews Tenant plans for compliance to design guidelines, technical criteria and AHJ requirements.
- Expedites building permits for Landlord and Tenant work.
- Produces Requests for Proposals to obtain competitive bids and cost estimates for the design and construction of Landlord Work.
- Manages design consultants to ensure all required scope of work is properly and completely documented in construction documents. Manages general contractors to ensure that LLW is completed in a first class and timely manner.
- Collaborates with all stakeholders to meet the space delivery date.
- Collaborates with the internal Retail Plan Management Team to produce lease exhibits such as Lease Outline Drawings, cart and kiosk restrictions, and lease plan updates etc.
Tenant Construction and Opening
- Monitors progress of Tenant construction and coordinates access, loading and building system interface with Center Operations Teams.
- Conducts daily field inspections to monitor Tenant’s construction progress and adherence to the Center’s Rules and Regulations.
- Accountable for conflict resolution with Inspectors, AHJs ‘and Tenant General Contractors to overcome barriers to ensure store openings as early as possible.
- Maintains weekly reports to communicate progress of Landlord and Tenant work.
- Conducts thorough pre-inspection walk-throughs to ensure Tenant will successfully pass final AHJ inspections.
General Coordination & Duties
- Develops a strong understanding of AHJ processes and assigned properties as well as associated building infrastructure and Tenant interface requirements, including all mechanical, electrical, plumbing, sprinkler, security and life safety systems
- Participates in recurring action/asset meetings to ensure awareness of all aspects of the shopping center and to provide updates regarding Landlord Work, Delivery of Premises, Tenant’s design, construction and opening.
- Establishes and leverages relationships with Retailers, Architects/Engineers, General Contractors, AHJs in the best interest of the organization and our Tenants.
Qualifications, Competencies and Experience
- B.A. or B.S. degree or equivalent in Architecture, Construction Project Management and/or equivalent experience.
- 5-7 years of experience as a Project Architect, Project Manager and/or experience within an on-site Construction Management setting.
- Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint), Bluebeam, Procore, and Project Scheduling Applications. Quick to learn and adapt to new software and processes.
- Has superior organization, planning and prioritization skills.
- Thrives both in a field/construction job site setting and office environment.
- Experience in retail design, up to date knowledge of industry trends and best practices for retail and commercial sectors a plus.
- Experience navigating the PANY/NJ, MTA, and/or NYC DOB permitting processes a plus.
- Can read and coordinate architectural and MEP drawings.
- Excellent verbal, written and visual communication skills.

- $99K-130K + Discretionary Annual Bonus
