Job Overview:
The Sales Contract Administrator will play a vital role in supporting the Customer Service and Process Improvement Director by processing sales projects initiated by the Sales and Major Projects departments. This position requires a solid understanding of contract language, including terms and conditions, and involves reviewing sales contracts from construction companies, as well as internal documents, from a legal perspective. The Sales Contract Administrator will also manage invoicing and collections, ensuring a seamless transition of projects from the receipt of the contract through to the collection of sale invoices. To thrive in this role, strong time management skills, a sense of urgency, and meticulous attention to detail are essential.
Key Responsibilities:
- Review and analyze sales contracts from construction companies to ensure compliance with policies, risk mitigation, and legal requirements, collaborating with internal legal teams as needed.
- Assist in preparing and reviewing internal contract documents and comprehensive sales packets, ensuring they meet legal standards and company protocols.
- Maintain project records in Salesforce, including converting quotes to orders, orders to contracts, and creating purchase orders while accurately tracking cost information.
- Support Project Management by gathering quotes from subcontractors, issuing purchase orders, processing change orders, and overseeing billing procedures.
- Document meeting minutes, manage project timelines, meet deadlines, achieve departmental KPIs, and provide backup support for the Senior Contract Administrator as necessary.
Qualifications:
- Bachelor’s degree in Business Management, Business Administration, Project Management, or a related field, or equivalent work experience.
- 1-3 years of experience in contract or project management, preferably in the construction or modular industry, with exposure to legal contract review.
- Strong understanding of contractual language, including terms and conditions, with the ability to analyze documents from a legal perspective.
- Excellent time management skills and meticulous attention to detail for reviewing contracts, invoices, and project documentation.
- Proficient in Salesforce or CRM software, with familiarity with Microsoft Office Suite and strong communication skills for effective interaction with internal teams and stakeholders.
