Position Summary:
Octapharma USA is searching for a Conferences and Events Coordinator to join our team. The Conference and Events Coordinator in the life sciences industry plays a critical role in planning, executing, and managing industry-specific events such as scientific symposia, trade shows, advisory boards, and internal meetings. The primary purpose of this position is to ensure that all events align with the organization's scientific, clinical, and business objectives while maintaining operational excellence. This role supports the company’s growth and engagement strategy by providing a platform for collaboration with key stakeholders, including researchers, scientists, industry leaders, and healthcare professionals. By organizing successful, compliant, and high-impact events, the Conference and Events Coordinator enhances the company's reputation within the life sciences community, fosters key industry relationships, and helps facilitate the dissemination of scientific knowledge. This position ensures that events are executed efficiently, within budget, and in compliance with any relevant industry regulations, while creating meaningful opportunities for networking and business development. Additionally, the coordinator will take on ad hoc assignments to support the marketing and business development teams, contributing to the overall success of the company’s strategic initiatives.
Requirements:
- Must be able to work onsite in Paramus, NJ Office
- BA/BS in Business Management
- Minimum of 3-5 years of experience in event planning and management, preferably within the life sciences or healthcare industry.
- Proven experience in coordinating and executing a variety of events, including scientific conferences, trade shows, and corporate meetings.
- Familiarity with industry regulations and compliance requirements relevant to the life sciences sector (e.g., FDA, HIPAA).
- Demonstrated experience in managing and executing on approved budgets and tracking expenses.
- Experience in project management methodologies, with a track record of successfully leading multiple projects simultaneously from conception to execution.
- Experience in sourcing and negotiating with vendors, including venues, catering services, and audiovisual providers.
- Competence in Microsoft Office Suite (Word, Excel, PowerPoint)
- Previous experience managing on-site logistics and operations for events, ensuring smooth execution and attendee satisfaction.
- Strong verbal and written communication skills.
- Willingness to travel up to 50% of the time for on-site event management and coordination.

Octapharma USA Compensation and Benefit Summary: The pay range for this position at commencement of employment is expected to be between $55,000 to $80,000; however, unexpected and necessary adjustments or increases may result from Company annual salary increases, if applicable, and or fluctuations in the job market necessitating adjustments to pay ranges. Further, final pay determinations will depend on various factors, including, but not limited to geographical location, experience level, knowledge, skills and abilities. The total compensation package for this position may also include other elements, including a full range of medical, financial, and/or other benefits (including 401(k) eligibility and paid time off benefits, including parental leave), dependent on the position offered. Details of participation in these benefit plans will be provided if an employee receives an offer of employment. If hired, employee will be in an “at-will position” and the Company reserves the right to modify base salary (as well any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.
