The Legal Department at our Eastern Territorial Headquarters in West Nyack, NY has an opening for an Estates Specialist. This position functions as an integral component of estates documentation processing and coordination, primarily responsible for the preparation of correspondence and documents for signature and sending them out after they have been executed.
This position requires approximately 35 hours of work per week and is onsite.
ResponsibilitiesOversee the retrieving of incoming mail and the processing of outgoing mail.Prepare correspondence as directed by the Legal Secretary, Assistant Legal Secretary, and Supervisor of Estate Processing.Establish all new legacy cases through the preparation of initial correspondence with inclusion of documents when necessary.Prepare for signature correspondence relating to existing legacy cases.Prepare for signature correspondence acknowledging receipt of legacy distributions.Distribute correspondence and documents to appropriate person within Legal Department.Prepare legacy files for closure and scanning.Prepare active legacy files for scanning.Obtain closed file information as needed from Document Management and archives when necessary.Update information in 3rd Party Trust tab in Estates Database when necessary.Assist Document Specialist with review of bank statements when necessary.Assist the Legal Secretary and Assistant Legal Secretary as requested to maintain the smooth flow of information both within and without the Legal Department.Monitor and order department supplies as needed; Monitor delivered supplies for the breakroom.
Qualifications- Associate's degree
- Two years of related experience
- This position entails replying to correspondence received from courts, law firms, and financial institutions – must be able to understand correspondence received in order to reply appropriately.
- Must be or willing to be appointed as a New York State Notary Public.
- Position requires a professional demeanor when dealing with the public, an ability to work semi-independently, and ability to prioritize when necessary due to time constraints.
- Strong computer skills required for Microsoft Office Word and Lotus Notes. Ability to learn new databases.
- Ability to use multi-functional copier.
