Job Summary:
We are seeking a highly proactive, results-oriented Executive Assistant to support our CEO and executive team. This individual must prioritize optimizing the CEO’s schedule and time, understanding that efficiency and speed are critical. The role also includes managing the CEO’s social media presence, coordinating campaigns, and preparing for video or public appearances. The ideal candidate will manage complex travel and meeting arrangements, anticipate the CEO’s needs, and adapt quickly to changes, while maintaining a high level of discretion and professionalism.
Key Responsibilities:
- Provide high-level administrative support to the CEO and occasionally the executive team, with a strong focus on optimizing the CEO’s time and productivity.
- Manage and coordinate complex international travel arrangements, ensuring smooth logistics to maximize efficiency.
- Plan and coordinate executive-level meetings and events across the U.S., Europe, and Asia.
- Maintain and optimize the CEO’s calendar, including last minute changes focusing on time management rather than cost efficiency.
- Manage the CEO’s social media presence, including scheduling and posting content, coordinating social media campaigns, and monitoring engagement.
- Organize and prepare the CEO for video appearances, public events, and interviews.
- Quickly respond to shifting priorities, ensuring the CEO’s schedule is aligned with business needs.
- Handle confidential and sensitive information with discretion.
- Collaborate with other departments to ensure seamless communication.
- Be available for urgent matters beyond standard business hours, providing flexibility and responsiveness.
Qualifications:
- Proven experience as an Executive Assistant in a similar high-paced, demanding environment.
- Ability to plan travel internationally, including acquiring visas where necessary.
- Strong understanding of social media platforms and experience managing executive-level social media accounts.
- Ability to make decisions quickly, focusing on optimizing time and efficiency over cost.
- Strong organizational skills with exceptional attention to detail and follow-through.
- Excellent written and verbal communication skills.
- High level of professionalism and ability to handle confidential information.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and social media management tools.
- Experience working with C-suite executives in a global organization.
Preferred Qualifications:
- Bachelor’s degree or equivalent experience.
