We are seeking an Operations Manager for an architectural and interior design firm in Pensacola, FL. This is a direct hire position working onsite (with some flexibility).
The Operations Manager will primarily oversee HR functions while managing technology, accounting, and daily studio operations. We are looking for a strong leader in Operations—someone who can ensure that essential business processes operate and run smoothly. This individual should be proactive in problem-solving and anticipating challenges. The ideal candidate will have experience in senior leadership roles, particularly in the commercial/accounting sectors of past companies. This person will be responsible for ensuring timely billing, sales tax compliance, and prompt invoice distribution.
Responsibilities may include but are not limited to:
Human Resources -
- Manage recruitment, hiring, and onboarding of staff and consultants.
- Process payroll and coordinate with payroll provider.
- Serve as the primary contact for employee relations; addressing inquiries and resolving issues related to payroll, benefits, medical leave, and company policies.
- Oversee the performance management process and address performance issues.
- Support the professional development of team members.
- With the Partners, promote a culture of excellence and continuous improvement that values transparency and open team-member communication.
Technology -
- Ensure staff have necessary technology access and make recommendations as needed.
- Oversee outsourced IT functions and ensure technology uptime.
Accounting -
- Oversee AR/AP bookkeeper and provide regular financial reports to the partners.
- Monthly invoice process.
- Ensure compliance with sales tax regulations for services and goods sold across US states and countries.
- Oversee the procurement and sale processes for Decorative/Interiors Inventory, via Studio Design software.
Studio Operations -
- Oversee/manage the receptionist/office manager.
- Act as a liaison with building management.
Legal -
- Review project contracts related to invoicing and billing cycles.
- Ensure compliance with insurance and professional licensing requirements of projects.
- Oversee required reporting for Florida and New York incorporation.
Required Skills and Experience:
- Bachelor's degree required in related field
- Minimum 10 years of experience in an Operational leadership or related role
- Exceptional ability to handle multiple priorities simultaneously
- Excellent interpersonal communicator, able to manage up and down and have difficult conversations with team members when needed
- Self-starter with an entrepreneurial spirit; capability of creating structure in ambiguous situations and solving problems on own initiative
- Thrives in a fast-paced growth environment; adaptive, optimistic, resourceful
- Able to maintain strict attention to detail in a deadline-driven environment

Compensation:
- Salary: $75,000 - $95,000 per year. Exact compensation may vary based on skills, experience, and education.
