Pay: $27.40 - $30.77/hour (based on experience)
Schedule:
- Monday- Friday 9:00 am - 6:00 pm (1-hour unpaid lunch)
- Assignment Length: 3-months (STRONG potential foot-in-the-door opportunity)
- After fully trained, the option to work remote on Fridays
Company Overview: Our client, a nonprofit organization in Downtown Denver, is seeking an Office Administrator. The Office Administrators focuses on the administration of grants and grantee relationships including assisting in the design and fabrication of signage, coordinating logistics of events and conferences, providing office management support, and performing administrative work. This position requires the ability to work on multiple projects with current and prospective partners with a high level of professionalism. Someone successful in this position will have a high level of attention to detail, the ability to be proactive and think critically.
Duties:
- Administrative/Organizational Work 50%
- Check inventory, stock, and organize common spaces in the office
- Cover lunch breaks for the front desk
- Research relevant information for current or future projects as needed
- Prepare meeting notes and reports
- Maintain archive of companies' pictures and videos
- Create signage and marketing materials
- Internal & External Event Support and Coordinator 30%
- Assist in preparation and tear-down of events
- Attend events locally as required
- Coordinate logistics for events including catering, entertainment, guest communication, volunteer recruiting, and monitoring budget/expenses
- Hold post-event debriefs with staff and keep detailed notes and records on events and programs
- Organize guest lists
- Oversee materials/assets associated with events
- Grant Management & Grantee Relations 20%
- Work on annual budget with supervisors by reviewing requests, doing research, requesting additional documentation, and managing a rolling grant and sponsorship calendar
- Prepare grant materials for approval
- Maintain grant database
- Visit grantee grantees and report on site visit with recommendations for grant funding levels
Qualifications:
- Bachelors degree required or equivalent work history
- 3 + years’ experience in an office setting in an administrative or project management role
- Proficient In Microsoft Office suite (Outlook, Excel, and Word)
- High ethical standards, maintain high level of confidentially
- Handles themselves in a professional manner
- Excellent work ethic and positive disposition
- Excellent judgment in terms of problem solving and knowing when to ask for direction versus when to work independently; ability to think “outside of the box”
- Strong verbal and written communication skills and ability to work effectively with individuals at all levels in organization
- Ability to work effectively with ethnic, cultural and diverse populations
