Seeking an Administrative Assistant for a Financial Services Firm in Coral Gables! This person will be responsible for supporting various administrative and operational functions. The ideal candidate will have previous administrative experience and will support staff and serve as the first point of contact for visitors.
Responsibilities:
- Oversee daily office operations, including managing office supplies, maintaining office equipment, and coordinating office maintenance.
- Perform routine administrative tasks such as scheduling appointments, managing calendars, and organizing meetings and events.
- Act as the primary point of contact for internal and external communications, including answering phone calls, responding to emails, and handling correspondence.
- Prepare and process documents, reports, and presentations. Maintain accurate and organized filing systems, both physical and digital.
- Enter and update information in databases, ensuring data accuracy and confidentiality.
- Assist with travel arrangements, expense reporting, and other logistical support for staff and executives.
- Greet and assist visitors, clients, and vendors in a professional and courteous manner.
Requirements:
- Bachelors degree in business, finance, accounting or related degree required.
- 1+ years of relevant administrative experience
- Microsoft Office Suite skills
- Superb organizational, project management and interpersonal skills.
- Extreme attention to detail and accuracy skills.
- Skilled multi-tasking, follow-up, and managing priorities effectively.
