Position Overview:
We're seeking a dynamic and motivated Associate Community Manager to join our team who is invested in the success of the company and our client communities. As an Associate Community Manager, you will work alongside a Community Manager and play a pivotal role in working with a portfolio of client communities and its Board of Directors to provide your knowledge and expertise and act as a facilitator in working through community projects and other day-to-day operations of the community. You'll be part of a collaborative team that embodies our core values of integrity, innovation, team support, and work-life balance. The Associate Community Manager position serves as a steppingstone to the Community Manager position.
Key Responsibilities in conjunction with a Community Manager:
1. Assist Boards of Directors in carrying out their duties and disclosure obligation in accordance with the Davis-Stirling Common Interest Development Act.
2. Maintain overall responsibility for the day-to-day operations of client Associations.
3. Secure proposals for contracted services as directed by the Associations’ Board of Directors. Review proposals and make recommendations as requested.
4. Conduct common area site inspections as scheduled, noting any areas in need of attention; prepare site inspection reports and distribute as directed.
5. Issue violation and Hearing notices to owners/tenants in accordance with established policy.
6. Prepare meeting notice, agenda and accompanying materials (Board Packet) to be distributed to each Director one week prior to each Board of Director’s meeting.
7. Attend all Board of Director’s Meetings and Membership Meetings, providing input and direction, taking the Minutes, and developing, assigning, and completing an action list.
8. Review and approve all invoices for payment.
9. Work closely with Customer Service to ensure that all service requests are being handled appropriately and in a timely manner.
10. Collect and submit input for development of annual operating budgets to Accounting Department. Distribute proposed budgets to Directors, review and discuss same, making any requested changes and distribute to membership, as required.
11. Act as Association liaison in dealing with owners, tenants, sub-contractors, and public entities.
12. Work closely with accounting department to ensure accurate assessment billing statement communications and financial reporting.
Qualifications:
· Ability to multi-task and work with competing deadlines.
· Strong problem solving and excellent verbal and written communication skills.
· Ability to delegate and oversee work assigned to support staff.
· Ability to provide guidance to clients.
· Minimum of 2-years’ experience in a customer service field is highly preferred.
