Adams & Martin Group is working with a leading business law firm in Irvine seeking an experienced Senior Litigation Secretary to provide high-level administrative and legal support to their litigation attorneys. The ideal candidate will possess advanced skills in legal procedures, document management, and client relations, with a focus on business and commercial litigation. This role requires exceptional organizational abilities, strong attention to detail, and the ability to thrive in a fast-paced, deadline-driven environment.
Key Responsibilities:
Provide administrative support to multiple litigation attorneys.
Draft, format, and proofread legal documents including pleadings, discovery responses, motions, briefs, and correspondence.
File legal documents with state and federal courts electronically (e-filing) and ensure compliance with court rules.
Manage complex litigation calendars, including scheduling court appearances, depositions, hearings, and meetings.
Organize and maintain electronic and paper filing systems for litigation matters.
Assist with trial preparation, including preparing trial binders, exhibit lists, and coordinating witness logistics.
Manage incoming and outgoing correspondence, including mail, emails, and telephone calls.
Coordinate with court personnel, clients, opposing counsel, and other stakeholders.
Conduct legal research and gather case-related documents as needed.
Maintain confidential client information in compliance with firm policies.
Qualifications:
Minimum of 5-7 years of experience as a Litigation Secretary, preferably in business or commercial litigation.
Proficiency in legal software such as iManage, ProLaw, or similar.
Advanced knowledge of state and federal court filing systems (both manual and e-filing).
Strong written and verbal communication skills.
Excellent organizational and time management abilities, with a keen attention to detail.
Ability to work independently and collaboratively in a fast-paced environment.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other office productivity software.
Bachelor's degree or equivalent experience is preferred.
