Knox McLaughlin Gornall & Sennett, P.C. is seeking a full-time employee to perform a variety of administrative duties, under general supervision and according to established policies and procedures, performs a variety of duties to assist attorneys throughout the litigation process. Maintains positive contact with clients, attorneys and staff and observes confidentiality of client matters. Organizes and maintains case files and documents. Drafts a variety of documents and keeps accurate time records and assists in the billing process.
Minimum Qualifications:
- Ability to read, write and perform substantive legal work and mathematical skills as normally acquired through the completion of high school.
- High level of comprehension of legal terminology and complex documents, preferably related to real estate transactions.
- Approximately one to two years clerical job experience including Word experience.
- Ability to type on a computer keyboard and at least 40 wpm.
- Ability to work at least 37 1/2 hours per week in a law firm environment and provide own transportation to and from work. Ability to work hours in addition to the regular work schedule as needed.
Essential Duties and Responsibilities:
- Review and analyze cases in order to assist in preparation for trial. Maintain effective calendaring system to assure all deadlines are met.
- Draft complaints, responsive pleadings, discovery requests and/or responses, routine notices, motions and affidavits.
- Establish, organize and maintain matter files, trial notebooks, pleadings binders, appeal binders, document indexes and lists.
- Locate and confer with witnesses, experts and resource people. Obtain written statements from witnesses. Arrange for expert witness inspections, depositions, and other services. Obtain approval from counsel of record and specified parties as needed.
- Conduct conflict checks and open billing files utilizing Knox Best practices. Assist in the billing process by entering time, reviewing proformas, and processing cost payments for reimbursement.
- Maintain good client relationships by handling all calls, mail, email, and visitors in an appropriate manner. Assure the proper handling of outgoing correspondence and documents.
- Perform computer-based research utilizing programs such as Internet, PACER, LEXIS, and Infocon.
- Utilize computer and appropriate software to produce accurate documents and perform other tasks in an efficient manner according to Knox Best Practices.
- Assist in the preparation of cases for trial by reviewing and outlining depositions; indexing and summarizing documents; and drafting and preparing witness and exhibit lists. Subpoena and contact witnesses as needed.
- Participate in training programs to learn and incorporate new computer skills and operational methods to meet prevailing Knox Best Practices as required for the position.
- Perform all other tasks as may be assigned from time to time by attorney(s) or the HR Coordinator/Chief Executive Officer.
