Responsibilities This position requires excellent time management skills. Teammate must be able to work independently in a fluctuating work environment. Office culture is business casual. Taking initiative with a customer service presence at the same time exhibiting a sense of urgency. Must be able to prioritize and reprioritize with the everchanging schedule.
Key Responsibilities:
- Maintain Outlook calendar including meeting invites for the Executive
- Under minimal supervision provides high-level administrative support
- Coordinate all domestic travel arrangements and input into Outlook calendar, including transportation, hotel, etc. over multiple time zones
- Ability to self-manage in ever changing environment
- With minimal supervision, exercises independent discretion and judgment to solve complex problems regarding projects, calendar, and meetings
- Proactive partner that takes the lead to get things done and hit deadlines
- Knowledgeable in Concur online expense system - Complete/process expense reports
- Coordinate conference calls, meetings, prepare agendas, recaps, etc.
- Being flexible with constant changes.
- Must be able to work in a participative team culture
- Work with Executive Assistant team to ensure smooth flow of information
- Act as a liaison between the Executive and other teams and individuals
- Professionally interacts with all internal and external sources, often at upper and executive-management level
- Able to communicate and display professionalism with C-Suite.
- Excellent communication skills required
- Assist with office duties as needed
Qualifications Total education, vocational training and experience:
- A minimum of 5 years executive assistant experience is required.
- Bachelor's Degree Preferred
- High School Diploma Required
- Advanced skills in Microsoft Outlook, Word, Excel, and PowerPoint are a must
- Concur Expense Reporting preferred but not required
- Technologically savvy
- Strong time management skills
- Ability to effectively present information and respond to questions.
