Overview:
We are seeking a detail-oriented Subcontracts Administrator to join our dynamic, growing team in Reston, VA. This role will be responsible for managing subcontractor agreements, issuing purchase orders, and ensuring compliance with contract terms. The Subcontracts Administrator is vital to ensuring the timely procurement of goods and services while maintaining strong relationships with subcontractors and vendors.
Key Responsibilities:
Subcontract Management:
- Prepare, negotiate, and administer subcontracts, including modifications, amendments, and renewals.
- Ensure subcontractors meet performance standards and adhere to the terms and conditions of contracts.
- Resolve subcontractor-related issues, including disputes and compliance matters.
Purchase Order Administration:
- Issue and manage purchase orders (POs) for materials, equipment, and services.
- Monitor open POs to ensure delivery schedules and performance align with project requirements.
- Process amendments and close out POs upon fulfillment.
Compliance & Documentation:
- Maintain accurate and up-to-date records of all subcontracts and purchase orders.
- Ensure compliance with company policies, industry regulations, and client requirements.
- Assist in the preparation of subcontractor reports for project stakeholders.
Vendor & Subcontractor Relationships:
- Develop and maintain positive relationships with subcontractors and suppliers.
- Assist in sourcing and evaluating potential new vendors/subcontractors.
- Conduct periodic performance evaluations and manage feedback loops.
Qualifications:
- Bachelor’s degree in Business Administration, Supply Chain Management, or a related field (or equivalent work experience).
- 3-5 years of experience in subcontract administration, procurement, or a similar role.
- Strong knowledge of issuing purchase orders and subcontracting processes.
- Experience working with government contracts and compliance regulations (FAR/DFARS knowledge is a plus).
- Proficiency in Microsoft Office Suite (Excel, Word) and procurement management software.
- Excellent communication, negotiation, and organizational skills.
- Ability to work independently, meet deadlines, and handle multiple tasks simultaneously.
Preferred Skills:
- Knowledge of ERP systems (such as Deltek, Oracle, or SAP).
- Familiarity with small business contracting programs (8(a), HUBZone, or SDVOSB).
- Experience in construction, environmental, or federal contracting industries.
