The Contracting Specialist is responsible for the end-to-end process of onboarding new agents and agencies, ensuring all documentation and agreements are properly completed, submitted, and processed according to regulatory and company guidelines. This role is key to maintaining compliant and efficient contracting operations, working closely with both external agents and internal departments.
Key Responsibilities:
- Agent Onboarding: Facilitate the contracting and appointment process for new agents and agencies. This includes gathering necessary documentation, processing agreements, and ensuring all compliance requirements are met.
- Licensing & Compliance: Verify licenses and certifications to ensure agents meet state and federal requirements, as well as company policies.
- Contract Management: Draft, review, and manage the filing of contracts and appointments between the company and agents/agencies.
- Communication: Serve as the primary point of contact for agents regarding contracting issues, ensuring prompt resolution of inquiries or concerns.
- Data Entry & Systems Maintenance: Input agent details into internal systems and ensure databases are kept up to date with the correct information, such as agent statuses, appointments, and terminations.
- Relationship Building: Maintain strong relationships with agents, providing support and guidance throughout the contracting process.
- Regulatory Updates: Stay up to date on state regulations regarding insurance licensing and contracting processes, ensuring all procedures adhere to the latest guidelines.
- Reporting: Generate reports on agent onboarding statuses, contracting timelines, and related metrics.
Required Skills and Qualifications:
- Bachelor’s degree or equivalent work experience in a related field.
- Prior experience in insurance contracting or a similar role is preferred.
- Strong organizational skills with attention to detail and accuracy.
- Knowledge of insurance regulations and licensing procedures.
- Excellent communication and customer service skills.
- Ability to work efficiently in a fast-paced environment and handle multiple tasks simultaneously.
- Proficiency with contract management software and Microsoft Office Suite.
- Bilingual Preferred.
- Able to be On-Site.
- Familiarity with various state insurance department regulations.
- Experience using agency management systems or CRM platforms.
- Knowledge of insurance industry-specific contracts and legal terminology.
