The Mid Valley Association of REALTORS® is seeking a detail-oriented and organized Administrative Assistant to support the Chief Executive Officer and our membership. This role is pivotal in managing day-to-day office operations and ensuring smooth communication and coordination within the association.
Key Responsibilities:
- Serve as a primary point of contact for members, handling phone calls, emails, memos, reminders, and other forms of correspondence.
- Maintain a comprehensive understanding of all membership types and ensure accurate and up-to-date membership records.
- This includes tasks such as conducting office audits, processing membership dues, managing deactivations, reinstatements, and transfers, issuing continuing education (CE) credits, letters of good standing, and tracking important deadlines.
- Act as the liaison for both internal teams and external clients.
- Familiarize yourself with all membership-related forms and procedures, assisting with member setup as needed.
- Assist with event coordination, including handling registration, event setup and teardown, and logistics for in-person events.
- Responsible for outbound communication efforts to membership, including managing and maintaining social media channels.
- Support the preparation of media presentations, promotional materials, and monitoring of registration and attendance for events.
- Arrange meals, snacks, and refreshments for meetings and events.
- Monitor and update social media channels, ensuring timely and effective communication with members and the public.
Requirements:
- Proficient in standard office equipment (printers, webcams, etc.).
- Strong skills in MS Excel, Word, and Canva.
- Ability to quickly learn and adapt to new software platforms.
- Excellent written and verbal communication skills are essential.

Job Details:
- Job Type: Full-time (On-site; no remote work)
- Schedule: Monday – Friday, 8:00 AM – 4:00 PM
- Employees may be required to adjust their schedule to attend and assist with association events.
- Job responsibilities may extend to event locations, and employees should be prepared to provide their own transportation when necessary.
