Job Title: Executive Administrative Assistant to the CEO – Construction Company
Location: Orem, UT
Salary: $65,000 to $80,000 depending upon experience
Position Overview:
We are seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive support to our CEO. This role is essential for ensuring efficient operations and effective communication within the executive office. The ideal candidate will have a background in construction, particularly in commercial construction, along with exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion.
Key Responsibilities:
- Administrative Support: Manage the CEO's calendar, schedule meetings, and coordinate travel arrangements. Prepare and organize documents for meetings and presentations.
- Communication Management: Serve as the primary point of contact for internal and external communications. Draft, proofread, and edit correspondence, reports, and other documents as needed.
- Project Coordination: Assist in the planning and execution of special projects, particularly those related to commercial construction, ensuring deadlines are met and deliverables are on track.
- Data Management: Maintain and organize files, records, and databases. Prepare reports and presentations as required.
- Meeting Coordination: Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
- Confidentiality: Handle sensitive information with integrity and confidentiality.
- Team Collaboration: Work closely with other departments to ensure smooth communication and coordination on various initiatives.
Qualifications:
- 3+ years of experience as an executive assistant or in a similar administrative role, preferably in the construction industry.
- Familiarity with commercial construction processes and terminology is highly desirable.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to prioritize tasks and work independently in a fast-paced environment.
- High level of professionalism and a strong sense of discretion.
