Media Administrative Assistant - Linear Ad Traffic Team
Position Summary:
This candidate will report to the Vice President, Global Media Operations (GMO) within the Network Partnerships and Programming department at my client’s organization. They will play a key role in supporting the day-to-day responsibilities of the linear ad traffic team. The ideal candidate will ensure smooth coordination of ad operations, support senior leadership, and facilitate the execution of media workflows across a global network of partners. This role is integral to maintaining accurate ad trafficking and delivering high-quality service to both internal teams and external stakeholders.
Major Responsibilities:
- Manage the daily trafficking and exporting of 24/7 International TV ad logs, distributing them to over 230 international partners in a timely and accurate manner.
- Communicate regularly with external Regional Sports Network contacts to obtain monthly broadcast affidavit reports and ensure successful reconciliation uploads.
- Create and distribute bi-monthly post-log reports to external stakeholders, such as media agencies, ensuring accurate and timely delivery of data.
- Provide comprehensive administrative support to department SVP and VP, including scheduling meetings, organizing travel, and handling communications.
- Collaborate with internal and external teams to resolve ad trafficking issues, discrepancies, and coordinate across various teams.
- Maintain and update departmental documents, presentations, and reports on a regular basis, ensuring they are current and accurately reflect operational data.
- Assist in the development and management of operational workflows to enhance efficiency and streamline ad traffic processes.
- Ensure proper documentation of key processes and help manage department-wide projects that impact ad operations, from planning through execution.
Required Skills/Knowledge:
- Proficiency in Microsoft Excel, Word, and PowerPoint, with the ability to create reports, presentations, and manage data.
- Strong verbal and written communication skills, with the ability to communicate effectively across teams and with external partners.
- Detail-oriented, with excellent organizational skills and the ability to manage multiple projects and deadlines simultaneously.
- Ability to work within a team environment and support various stakeholders across departments.
- Familiarity with ad trafficking processes and reconciliation of broadcast data is preferred.
Experience Needed:
- 1+ years of providing administrative support, preferably within a fast-paced media or broadcast environment.
- 1+ years of experience in ad operations, traffic management, or media operations is a plus.
Educational Background Required:
- A Bachelor’s degree is preferred, ideally in business, communications, media, or a related field.
