ADMISSIONS SPECIALIST
Primary Function: Assist families and potential clients in gaining access to appropriate level of care.
Supervision: Supervised by Admissions Manager
Essential Functions:
a. Accurately and efficiently complete telephone inquiry calls in Salesforce.
b. Timely complete client screening assessments, coordinating assessment of insurance benefits eligibility as needed.
c. Enter critical data into electronic medical record prior to admission, obtaining any necessary mental health and medical records.
d. Follow-up with internal stakeholders to determine therapeutic, medical, and financial appropriateness of admission.
e. Re-engage with initial inquiries to establish relationships and connect callers to appropriate resources.
f. Introduce prospective clients and families to the Harmony experience through tours and staff connections.
g. Schedule admissions, complete required paperwork, and obtain necessary signatures.
h. Participate in and promote a positive, supportive, and cooperative team environment.
i. Support Business Development efforts by accurately reporting referral source.
j. Collaborate with Nursing team members to ensure client safety during the admissions process.
k. Adhere to confidentiality laws including 42CFR Part 2, HIPAA and HITECH as well as all Harmony policies and procedures.
Minimum Requirements:
a. High school diploma or GED equivalent.
b. CAT certification or NADAAC equivalent is preferred.
c. Six months of previous work experience in substance use disorder field is preferred.
d. CPR/First Aid Certification.
e. Familiarity with mental health services and basic medical insurance concepts is advantageous.
f. Must have valid Colorado driver’s license and acceptable motor vehicle record if driving Harmony vehicle or driving for Harmony business.
Knowledge, Skills and Abilities:

b. Knowledgeable of Microsoft Office products in a Windows environment.
c. Ability to communicate effectively in written and verbal formats.
d. Skilled in effectively building rapport through telephone and email.
e. Basic knowledge of treatment modalities.
f. Initiative to learn program enhancements and new approaches to treatment.
g. Personal maturity reflected by sound judgment and decision-making abilities.
h. Skilled in managing volumes of detailed information.
i. Proficient in thoroughly collecting and accurately entering data.
j. Ability to demonstrate sensitivity to cultural diversity issues.
