Our department is seeking a highly organized and detail-oriented Administrative Assistant with exceptional administrative skills and extensive experience in data support. This role is pivotal in supporting the operations team by ensuring smooth administrative operations and efficiently coordinating projects and deadlines.
Responsibilities of the Administrative Assistant
- Manage department calendars and schedule virtual and in-person meetings
- Provide administrative support for all data programs, including coordinating marketing activities
- Assist in preparing and distributing meeting materials and communications, such as emails, agendas, readaheads, PowerPoint presentations, notes, and meeting summaries
- Attend meetings and conference calls as needed
- Document and disseminate action items and key points from meetings
- Add project information to standard contracts and submit them to general counsel
- Support data projects by monitoring project deadlines and clients’ payment schedulesProcess and reconcile receipts and invoices
- Conduct online searches to gather required information
- Order office supplies
- Coordinate the development and completion of monthly data reports, Board informational reports, and Data Committee meeting materials in Word and PowerPoint formats
- Review and proofread written reports, PowerPoint presentations, online surveys, and data summary tables for spelling and grammar errors and inconsistencies
Qualifications of the Administrative Assistant
- Bachelor’s degree preferred
- Minimum of two years of full-time experience in an administrative role
- Strong organizational skills in a multi-tasking office environment
- Excellent oral and written communication skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)Exceptional attention to detail
