We are Doctor Doctor, a boutique concierge medicine practice in Solana Beach, providing personalized primary and acute care to our growing community. We are seeking a proactive, detail-oriented Practice Administrator to oversee the day-to-day operations of our practice. Key responsibilities include managing patient communication, answering calls, coordinating schedules, and ensuring smooth office workflows.
As we expand, the ideal candidate will take initiative in helping grow and support our team, bringing prior experience in practice management and scaling small businesses.
Key Responsibilities:
- Manage and oversee daily office operations, ensuring efficient workflows and seamless patient experiences.
- Answer and triage phone calls, addressing patient inquiries and scheduling appointments.
- Coordinate and manage provider schedules, optimizing appointment times for patient care.
- Serve as the main point of contact for patient communications, including appointment reminders and care-related correspondence.
- Support practice growth by assisting in recruitment, onboarding, and management of new team members.
- Implement and maintain organizational systems to streamline operations and improve efficiency.
- Handle administrative tasks related to patient billing and records management.
- Foster a welcoming, professional environment for both staff and patients.
Qualifications:
- Bachelor’s degree or higher in healthcare administration, business management, or a related field.
- 3+ years of experience in a medical or healthcare administrative role, preferably in a small practice or concierge setting.
- Proven ability to manage a growing team and scale office operations.
- Strong communication, organizational, and problem-solving skills.
- Initiative and the ability to work independently in a fast-paced environment.
- Proficiency in medical practice software, scheduling systems, and patient communication platforms.
