Tonies is seeking a highly skilled and tactical Executive Assistant to support our Chief Experience Officer (CXO). This role requires a proactive and organized individual who can handle a fast-paced environment and manage numerous, simultaneous tasks with precision and competence. The role is initially remote and will transition at some future time to hybrid.
Key Responsibilities:
- Manage and maintain the executive's complex calendar, scheduling meetings, appointments, and travel arrangements.
- Coordinate and plan domestic and international travel, ensuring seamless logistics for a globally traveling executive.
- Handle confidential and sensitive information with discretion.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Conduct research, compile data, and prepare reports and presentations for consideration and presentation by the executive.
- Liaise with internal and external stakeholders, acting as a gatekeeper and point of contact.
- Organize and coordinate executive team meetings, including preparing agendas and minutes.
- Oversee special projects and initiatives as directed by the CXO.
- Assist in the preparation of financial statements, invoices, reports, memos, letters, and other documents.
Qualifications:
- Proven experience as an Executive Assistant or similar role, preferably supporting C-level or senior consulting firm executives.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills, with intercultural sensitivity.
- Ability to work independently and prioritize tasks effectively.
- Proficient in Microsoft Office Suite and other relevant software.
- Track record of learning new tools to adapt to new environments and job requirements
- Experience in handling a globally traveling executive is highly desirable.
- Ability to maintain a high level of confidentiality.
- Must be local to Boston area.
