A Well-Known Law Firm is seeking an Executive Assistant to join their Washington D.C. team. This candidate is principally responsible for supporting 2 Partners and 4-5 Attorneys and ensuring that core tasks such as calendar management, travel arrangements, expenses, editing documents, answering telephones are managed on behalf of stakeholders. They are seeking a true team player, someone tech-savvy and a self-starter. Experience with billing on behalf of attorneys is highly preferred.
Hours: 9am - 5pm w/ 1 hour lunch (flex for OT as needed, not a lot)
**First 5 weeks this person will be in the office 5 days/week for training**
After will be hybrid, Mon - Thursday in office, Friday's remote on a rotating basis with other EA's
Responsibilities:
- Complex calendar management maintaining awareness of priorities and meeting deadlines.
- Liaising with clients and their support assistants.
- Document production including preparing correspondence and amending and proofreading documents. Assisting with marketing materials and client presentations
- Travel coordination for Partners and attorneys
- General administrative support including photocopying, printing and scanning
- Support the fostering of a collaborative team environment by providing support when covering for colleagues and willingly offering assistance, prioritizing tasks appropriately in order to assist colleagues for the benefit of the team.
- Ensure telephones are covered and answered promptly and professionally at all times.
- Maintain a good knowledge of key clients and awareness of the firm’s and of their fee earners’ strategic objectives.
- Support principals in adhering to the firm’s risk and compliance by tracking and uploading engagement letters/emails and ensuring time recording is completed to meet deadlines.
- Assist with the billing process, edit bill narratives, prepare client bills, and liaise with Revenue Controllers on behalf of the fee-earner as required.
- Handle expense management on behalf of fee earners, submitting claims on a weekly basis.
Qualifications:
- Bachelor's or Associates Degree
- 3-5 years experience out of law firm, or supporting a General Counsel, must have experience with billing for attorney’s
- Must be technically savvy - Outlook, Excel, PP, Word and MS teams, googlemeet, Zoom, salesforce, condeco
- Looking for candidates who are independent thinkers, polished, proactive, resourceful, attention to detail
- Excellent communication skills, both written and oral with an ability to interact at all levels.
- Excellent organizational skills and attention to detail and work on tight deadlines
- Ability to demonstrate absolute discretion with sensitive and confidential information.
- An enthusiastic and committed approach, whilst remaining flexible and proactive at all times.
- An ability to work well in pressured situations while maintaining a professional attitude.
