The Real Estate Paralegal supports attorneys in all aspects of real estate transactions, including commercial and residential property matters. This role involves preparing documents for closings, conducting title searches, managing contracts, and ensuring compliance with real estate laws and regulations. The Real Estate Paralegal must have a strong understanding of real estate transactions, title work, and leasing, as well as excellent organizational and communication skills.
Responsibilities:
- Assist with the preparation and organization of real estate transaction documents, including deeds, leases, purchase agreements, and closing statements.
- Review and prepare real estate contracts, ensuring all necessary provisions and legal language are included.
- Coordinate with attorneys, clients, title companies, and other parties to ensure timely and accurate closings.
- Draft correspondence and memoranda related to real estate transactions.
- Perform title searches and order title insurance policies.
- Review and analyze title commitments, exceptions, and surveys to identify potential issues.
- Work with title companies and surveyors to resolve any title defects or survey discrepancies.
- Organize closing documents, including title policies, deeds, and closing disclosures.
- Prepare closing checklists and ensure all closing conditions are satisfied.
- Coordinate with lenders, buyers, sellers, and attorneys to facilitate the closing process.
- Attend closings, either virtually or in person, as needed, to ensure all documents are executed and delivered appropriately.
- Draft and review lease agreements, amendments, and subleases.
- Assist with lease negotiations and ensure lease terms comply with relevant laws and client requirements.
- Maintain and organize lease files, including tenant correspondence and lease expirations.
- Assist attorneys in performing due diligence for acquisitions, sales, and financing of real estate.
- Conduct research on property zoning, land use, and environmental issues.
- Review and summarize due diligence materials, including surveys, environmental reports, and zoning letters.
- Ensure compliance with state and federal real estate laws, regulations, and guidelines.
- Maintain up-to-date knowledge of changes in real estate law that may affect the firm or its clients.
- Manage real estate transaction files and ensure all documents are properly filed and organized.
- Track and monitor critical deadlines and important dates related to real estate transactions.
- Provide administrative support to attorneys, including scheduling meetings, preparing documents, and handling client communication.
Qualifications:
- 3-5+ years of experience as a real estate paralegal or in a similar legal role.
- Strong understanding of real estate transactions, title work, and closing procedures, or foreclosure experience
- Proficient in Microsoft Office Suite and legal software (such as Clio, PracticePanther, or similar).
- Excellent written and verbal communication skills.
- Exceptional attention to detail and organizational skills.
- Ability to work independently and handle multiple tasks in a fast-paced environment.
- Knowledge of commercial and residential real estate processes, including title searches, lease agreements, and closings.
- Familiarity with state and federal real estate laws and regulations.
- Ability to maintain confidentiality and professionalism in handling sensitive legal matters.
