Responsibilities
- Calendar Management: Manage complex calendars, scheduling appointments, and coordinating travel arrangements for attorneys and staff.
- Document Management: Organize and maintain electronic and physical files, ensuring confidentiality and accessibility.
- Project Management: Assist attorneys with various projects, including preparing presentations, drafting correspondence, and conducting research.
- Client Services: Provide exceptional client service, responding to inquiries in a timely and professional manner.
- Office Administration: Oversee general office operations, including ordering supplies, managing the reception area, and coordinating maintenance.
- Team Support: Collaborate with colleagues to ensure smooth office functioning and contribute to a positive work environment.
Qualifications
- Experience: Minimum of 5 years of experience as an administrative assistant in a professional setting, preferably in an IP law firm.
- Skills: Strong organizational and time management skills, excellent communication (both verbal and written) skills, proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and the ability to handle confidential information with discretion.
- Education: High school diploma or equivalent required; college degree preferred.
