Job Summary:
We are looking for an experienced Full-Time Litigation Paralegal/Mailroom Admin to assist our in-house legal team. The ideal candidate will have 7+ years experience in a Paralegal role supporting a wide range of legal functions and have 3+ years of experience supporting attorneys in litigation, preferably in Healthcare. This is a full-time hybrid role with 3 days (Mon, Weds, & Thurs) onsite at 1178 Broadway, New York, NY, and Tuesday and Friday working remotely from home. Other major responsibilities will include; sorting and distributing of the company mail via computer scanning, processing of outgoing mail, and handling of billing/claims, legal, medical, and payroll/HR documents.
Key Responsibilities:
Paralegal
- Collects, compiles, and organizes evidence and legal documentation for attorney review
- Researches case-related factual issues using in-house files and outside reference sources, such as laws, regulations, and legal decisions and articles
- Assists with the preparation, filing, and service of contracts, filings, and pleadings
- Interviews clients, witnesses, and experts
- Acts as a liaison among all parties for scheduling and sharing information
- Organizes and manages documents, including creating spreadsheets and retrieval systems
- Coordinates the collection, review, and production of documents and responds to discovery requests
- Assists with trial preparation, including the assembly of exhibits, witness binders, and appendices for depositions and court filings
- Compiles information and prepares statistics, charts, graphs, and other summaries to detail the findings
- Files exhibits, briefs, appeals, and other legal documents with the court and opposing counsel
- Uses legal software and databases to assist lawyers and clients
- Assists legal team with research, reporting, analysis, and
Mailroom Admin
- Sorts and delivers incoming mail by department and/or employee to ensure timely distribution.
- Uses a computer scanner to distribute incoming mail virtually.
- Picks up company mail from the building mailroom.
- Uses Slack to distribute mail virtually and communicate with team members.
- Operates mail machines including the postage meter, photocopying machine, and mail folding and inserting machine.
- Processes and weighs outgoing mail.
- Maintains records of receipt, mailing dates, and other required information by use of spreadsheet.
- Replenishes postage on the postage meter as needed.
- Stocks office supplies as needed.
- Performs other related duties as assigned.
Qualifications:
- Associates degree in paralegal studies or Certified Paralegal (NFPA’s PCCE or PACE).
- Minimum 7 years of paralegal experience.
- At least 3 years supporting attorneys in litigation, preferably in healthcare (not personal injury or worker's compensation).
- Excellent computer skills.
- Must have advanced knowledge and experience using scanners and spreadsheets.
- Advanced understanding for sorting claims/billing, medical, legal, and payroll/HR documents.
