POSITION OBJECTIVE
Commonwealth Curb Appeal is seeking an Executive Assistant to join their team. This person will report directly to the CEO and will support him and the team by fielding calls from potential clients, qualifying leads, and scheduling meetings. In order to immediately add value, this person must be computer savvy, able to efficiently implement well-defined systems and processes, and have the ability to support the CEO through calendar management and qualifying leads. This person will need excellent written and verbal communication skills, and the ability to anticipate needs, manage multiple tasks, and offer solutions with confidence. This position offers a great opportunity for someone who is detail-oriented, organized, and reliable.
POSITION KEY RESPONSIBILITIES
- Efficiently manage scheduling for the CEO by utilizing calendaring tools such as Calendly.
- Answer phone calls and qualify leads from prospective clients.
- Maintain and update the CRM system to ensure accurate and up-to-date information.
- Handle email correspondence, prioritizing important messages and allocating focused time for the CEO to address sales leads.
- Initiate proactive communication with customers via email.
- Monitor the CEO's sales board, ensuring leads are progressing appropriately and securing timely estimates and designs.
- Attend meetings alongside the CEO to provide comprehensive note-taking and support.
- Foster collaboration with internal teams to streamline deliverables.
- Arrange on-site appointments and meetings for the CEO, ensuring smooth logistics.
- Maintain organized systems for filing and retrieving documents, keeping track of important information.
- Proactively follow up on sales requirements for the CEO, ensuring projects adhere to deadlines in coordination with designers and project managers.
- Help the CEO prioritize tasks and manage their workload effectively, ensuring that critical issues are addressed promptly and efficiently.
- Assist in various marketing initiatives, including composing customer emails, crafting personalized handwritten notes, and potentially overseeing engagement on social media platforms like Facebook.
SKILLS & EXPERIENCE NEEDED
- Bachelor's degree or equivalent experience, with 5+ years of Executive Assistant experience.
- Proficient in Microsoft Suite, VOIP phone systems, CRM software, and other databases.
- Exceptional attention to detail and organizational skills.
- Team player with the confidence to challenge when needed.
- Ability to thrive in a fast-paced, dynamic environment.
- Strong problem-solving skills to address challenges and unexpected situations effectively.
- Customer service oriented and excellent phone and email communication skills.
