Job description
The ideal candidate will have a minimum of one year experience in office administration. An Administrative Specialist will work directly with management and other members of our team to provide best service to our clients. This position will require an individual who is self-motivated and willing to learn, who has excellent time management skills and the ability to work independently.
Responsibilities
• Provide administrative support to staff, including scheduling appointments and coordinating meetings.
• Front desk and reception responsibilities, including answering phones and greeting clients.
• Communicate with clients via phone and email, as necessary.
• Process and assemble tax returns and financial statements.
• Maintain and organize client files, ensuring confidentiality.
• Perform administrative support functions such as scanning, copying, data entry, etc.
• Assist in bookkeeping tasks including internal payroll, client invoicing, client collections, etc.
• Manage office supplies and inventory, ensuring the office is well-equipped and organized.
• Occasional trips to Post Office for certified mailings and stores for supplies.
Qualifications
• 1-2 years administrative position experience in a CPA firm preferred, but not required.
• Associate’s degree preferred but not required.
• Strong attention to detail and organizational skills.
• Excellent communication and interpersonal skills, with a customer service mindset.
• Ability to manage multiple tasks and prioritize effectively in a fast-paced, deadline driven environment.
• Proficiency in Microsoft Excel, Word, and Adobe,
• Proficiency in QuickBooks preferred but not required.
• Experience in ProSystems Tax, CCH Engagement is desirable, but not required.
• Willingness to learn and adapt to new responsibilities.
