Financial Data Management firm located in Soho, Manhattan is seeking to hire a Temporary-to-Permanent Executive Assistant to join the New York based team! This position will require 4 days on-site with Fridays remote, from 9am-5:30pm with availability after hours as needed on nights of social events. This is an excellent opportunity to join a well-established firm with a global presence and significant growth potential.
Responsibilities:
- Assisting and providing a high level support to the Executive team; diary management, agenda planning, travel, expenses and hosting guests
- Facilitating and supporting meetings/events, taking minutes and following up on actions
- Managing Executive Committee internal communication agenda, creating events, assisting with the organization of offsites and maximizing reach across the team
- Liaising and organizing meetings with clients, prospects and stakeholders
- Secretarial and administrative support to the Executive team and London office, including scheduling and attending events where required
- Booking flights, accommodation, visa's and planning travel itineraries for the Executive team and Rimes staff
- Booking meeting rooms both internally/externally, and any other facilities required
- Collaborating with the People team on ad hoc internal projects
Qualifications:
- 5+ years' experience as an EA, preferably out of FinTech industry
- Somebody with an outgoing, friendly personality who can demonstrate an ability to work within a team environment
- Proven track record of delivering exceptional service as an EA to C-suite level or a Senior leader
- Proven track record of excellent secretarial and administrative organizational skills
- A good working knowledge of Microsoft Word, Excel and PowerPoint
- Have exceptional interpersonal and communication skills (written & verbal)
- Be able to multi-task, prioritize and meet deadlines in a busy team environment
- Be able to work independently on your own initiative with accuracy and attention to detail
- Be an excellent team player
- Be flexible, enthusiastic and have a proactive "can do" attitude
- Be able to manage confidential information and work under discretion
Compensation/Benefits:
- 80-100K base + Paid OT + Discretionary Bonus
