Job Description:
The Paralegal Coordinator is responsible for coordinating staffing on cases and projects, assisting with day-to-day questions and quality control checks, as well as coordinating trial support. The Paralegal Coordinator will oversee work performed by a team of paralegals that provides hands-on support to attorneys in delivering high-quality, timely legal services to the firm’s clients. The Paralegal Coordinator will collaborate with the Director of Legal & Administrative Support on identifying training and development needs.
This position is eligible to participate in the firm's flexible work program.
RESPONSIBILITIES/ESSENTIAL FUNCTIONS:
- Coordinate and mentor a team of paralegals, providing guidance, objectives, and professional development plans and ensuring appropriate staffing and resource levels
- Review routine work product, answer Paralegal questions, and provide feedback and guidance on:
- Supporting cases throughout the litigation lifecycle
- Document formatting and preparation, primarily using MS Word and Acrobat Professional
- Cite-checking/formatting and inserting Tables of Authority
- Document organization and case management
- Filing requirements and e-filing submissions in various state and federal courts, as well as federal agencies
- Assisting case teams with depositions, hearings, mediations, arbitrations, and trials
- Develop, implement, document, and maintain best practice and standards for paralegal support to include processes, recommended workflow of common tasks (e.g., cite-checking, e-filing, docketing), operational support, and resources (i.e., knowledge management materials, guides, and checklists)
- Meet regularly with Director of Legal and Administrative Support to assess staffing, training needs, development of paralegal team, and planning for large/complex cases and projects
- Monitor and optimize the team’s workload and billable/chargeable hours
- Collaborate with the Docketing team to ensure all court and agency deadlines, as well as other relevant dates and statuses, are accurately entered into the docketing system, and updated timely
- Assist attorneys and case team in all phases of trial preparation and trial support
- Provide logistical support for off-site and trial locations, including: planning of war room setup and location investigation; collaborating with eDiscovery team and firm IT on equipment, trial presentation, systems access, and other technology needs; coordinating any required vendor support services, including obtaining price quotes and necessary approvals for costs; and staffing onsite and office trial support
- Develop and maintain working relationships with practice groups, attorneys, and staff and develop strong working relationships
- Other duties as may be assigned by attorneys, Director of Legal and Administrative Support, and Senior Director of Practice Support
- Meet the department’s expectations to retrieve, read and/or respond to firm and client-related e-mail messages during and outside of core business and scheduled work hours by connecting a personal mobile device (smartphone or tablet with a data plan) to the firm’s network
KNOWLEDGE, SKILLS, AND ABILITIES:
- Strong proficiency with cite-checking, court/agency deadline calculation from rules, and general paralegal support duties, familiarity with litigation discovery process highly desirable
- Understanding of how to assist attorneys and case teams in all phases of trial preparation and trial support
- Excellent organizational skills, communication, and interpersonal skills with the ability to build relationships at various levels
- Proficiency working with subject-matter experts to identify key skill requirements and design training and reference guides appropriate to skill-level of audience
- Ability to manage multiple requests, assess priorities, and achieve solutions under tight deadlines
- Demonstration of strong leadership and motivational skills
- Expert-level proficiency with office productivity technologies and advanced capability with MS Office (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat; aptitude for learning software solutions and other technologies
- Demonstration of exceptional attention to detail and accuracy
- Maintenance of strict confidentiality of work-related information and materials and compliance with administrative and judicial protective orders
- Flexibility and willingness to respond to issues during and outside of core business hours
EDUCATION AND EXPERIENCE:
- Bachelor’s degree or equivalent work experience required
- Minimum of five (5) plus years of paralegal experience in a litigation practice, trial experience strongly preferred
- Demonstrated self-starter who shows ownership and commitment to perform responsibilities with high professional standards
