About the Role:
The Program Assistant will play a key role in maintaining the flow of documentation and supporting project teams. You’ll be responsible for managing project information, coordinating deliverables, and ensuring everything is accurate, secure, and up-to-date. Working closely with project managers and engineers, your role will be essential to the success of infrastructure bond programs that are changing the landscape of Central Texas.
Key Responsibilities:
- Assist in developing and implementing document control policies and procedures in line with industry standards.
- Track and manage the distribution of documents across project teams and with external stakeholders.
- Maintain and update the Electronic Document Management System (EDMS) to ensure easy and quick access to documents.
- Coordinate the submission and distribution of project deliverables, ensuring accuracy and adherence to timelines.
- Conduct regular audits to maintain documentation integrity.
- Provide training and support to team members on document control processes and systems.
- Collaborate with project managers, engineers, and stakeholders to facilitate effective communication and workflow.
- Prepare reports on document control metrics for management.
Qualifications:
- Bachelor’s degree in Business Administration, Information Management, Engineering, or a related field.
- 3+ years of experience in document control or a related administrative role, ideally in the construction or engineering sectors.
- Proficiency in document management software, MS Office Suite, and Google Sheets.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with staff and stakeholders at all levels.
- Detail-oriented with a commitment to accuracy and quality in all work.
