Job Summary:
As an Assistant Operation Manager at DDIC(Design, Development, Interior Design and Construction), you will support the Operation Manager in overseeing the daily operations of DDIC. Your role will involve managing staff, coordinating logistics, implementing operational procedures, and ensuring client satisfaction. The ideal candidate will be highly organized, possess excellent communication skills, and thrive in a fast-paced real estate environment.
Responsibilities:
- Oversee all projects for both external and internal clients, including preparing and managing project proposals, contracts, and invoices, tracking and handling payments from clients, and ensuring accurate and timely record-keeping. Maintain strong relationships with clients. Ensure high levels of client satisfaction through efficient and responsive operations.
- Maintain regular communication with clients, providing updates and addressing concerns. Conduct weekly meetings with clients to review project progress and address any issues. Maintain strong relationships with clients. Ensure high levels of client satisfaction through efficient and responsive operations.
- Assist the Purchasing department, and maintain accurate records of construction materials
- Monitor department information email daily, tracking and handling consultants' payments.
- Assistant in purchasing office supplies for the department.
- Monthly update for DDIC department budget tracking, and assist in expense management
- Assist in insurance, bonds, and other related matters
- Assist in the development and implementation of operational policies and procedures.
- Monitor and analyze operational performance, suggesting improvements where necessary.
- Coordinate and oversee the scheduling of property inspections, maintenance, and other operational activities
- Analyze data to identify trends and areas for improvement.
- Monitor project progress and ensure timely completion.
- Coordinate with different departments to achieve project goals.
- Assist hiring and job posting.
Qualifications
- Bachelor’s degree in Business Administration, Real Estate, Operations Management, or a related field.
- Proven experience in real estate operations, property management, or a similar role.
- Mandarin speaking skills preferred.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite and property management software.
- Problem-solving skills and the ability to make decisions under pressure.
