FHI Heat is dedicated to creating technologically advanced hair tools and hair care products with the power and performance needed for professionals and consumers alike We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our CEO and ensure the efficient operation of the executive office. The executive office is located in Simi Valley, CA.
Responsibilities:
• Manage the CEO's calendars, appointments, and schedules, coordinating meetings and conference calls with internal and external stakeholders.
• Assist in scheduling travel arrangements, including flights, accommodations, and ground transportation, ensuring cost-effective and efficient travel plans.
• Coordinate and organize events, including meetings, conferences, and corporate gatherings, handling all logistics and arrangements.
• Read and interpret contracts, ensuring accuracy and compliance with company policies and legal requirements.
• Interact and correspond with C-Level Executives both in the office and out of the office, representing the CEO professionally and effectively.
• Take initiative to streamline processes and improve efficiency, suggesting and implementing innovative solutions.
• Proficient in Microsoft Office suite, including Word, Excel, and PowerPoint, to create reports, presentations, and correspondence.
• Take the lead in planning office lunches and gatherings, fostering a positive and collaborative work environment.
Qualifications:
• Previous experience as an Executive Assistant or similar role, supporting C-Level Executives.
• Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines.
• Excellent communication skills, both written and verbal, with a professional and diplomatic demeanor.
• Ability to read and interpret contracts, with attention to detail and accuracy.
• Flexible and adaptable, able to thrive in a fast-paced and dynamic work environment.
