Job Title: Assistant Project Manager

Job Summary
The Assistant Project Manager (APM) will support pre-construction, active construction, and project closeout processes. This role includes managing project documentation, coordinating with contractors and vendors, and ensuring compliance with safety and technical standards. The APM is instrumental in maintaining up-to-date project information and facilitating communication between the Project Manager (PM), General Contractor (GC), and field teams.
Key Responsibilities
Pre-Construction
- Maintain the bid list log, updating it with new bid invites.
- Track and manage vendor information, ensuring data accuracy.
- Follow up on bid statuses with General Contractors (GC) and clients.
Construction
- Handle administrative and compliance requirements, such as requesting COIs, W9s, and other contractual documents from the GC.
- Customize and update the EFR Safety Plan to meet project-specific needs.
- Solicit technical submittals and material specifications from vendors and subcontractors; submit these to the GC.
- Maintain labor log records, including OSHA cards, licenses, driver’s licenses, and their expiration dates.
- Check Procore regularly to ensure field teams have the most current plans, specifications, and information.
- Archive all relevant project documentation from Procore, including RFIs and email correspondence, in the project’s cloud-based folder.
- Assist the PM in preparing Change Order Requests, submitting them to the GC, and ensuring timely follow-ups.
Project Closeout
- Prepare and submit all closing documentation to the GC, including:
- Typing and finalizing the project warranty, signed by the PM.
- Coordinating with foremen for as-built drawings.
- Collecting equipment startup sheets from foremen.
- Gathering and submitting Operation & Maintenance (O&M) manuals from vendors.
Qualifications
- Bachelor’s degree in Project Management, Construction Management, or a related field.
- 1-3 years of experience in project support or administration, preferably in construction or a related industry.
- Proficiency in project management and construction software, such as Procore.
