Executive Administrative Assistant
The Executive Assistant provides proactive and confidential support to our President of Latin America while managing a variety of administrative tasks in a fast-paced environment.
Key Responsibilities
· Position located in Miramar, Florida and reports directly to the President – Latin America.
· Performs high level executive and operational support while exercising independent judgement based on analysis and experience.
· Researches, prioritizes, and follows up on incoming issues, including those of a sensitive or confidential nature.
· Successfully completes critical aspects of tasks with a multi-tasking approach.
· Manages and maintains extremely active calendars; schedules meetings, conferences, and appointments; manages conflicts and adjusts to changes in a fast-paced environment.
· Initiates processes and practices to improve executive office effectiveness.
· Coordinates complex and detailed travel arrangements which can include domestic and international airfare, hotel, and ground transportation.
· Creates travel itineraries and agendas; compiles documents for travel related meetings; arranges passports and visas.
· Create and maintain expense reports with proper backup. Follow-up on dates of when payments will be received and reconcile credit card statement.
· Provide administrative support such as correspondence, translations, emails, presentations etc.
Requirements
· Bachelor’s Degree
· Experience with Latin America and working with high level executives.
· Excellent written and oral communication skills in English and Spanish. Portuguese a plus.
· Strong experience in planning international travel required.
· Strong computer proficiency including MS Outlook, Word, and Excel
· Strong proficiency in PowerPoint to include development and modification of presentations.
· Highly organized with a great attention to detail and accuracy
· Exceptional interpersonal and communication skills in a global environment
· Strong problem analysis and problems solving skills with a proactive approach
