What You Will Be Doing
The Vendor Relations Specialist is responsible for building and maintaining strong relationships with current and prospective Independent Service Providers (ISPs), Field Management, and other TFG team members. This role involves ISP procurement, vetting, problem resolution (such as Accounts Receivable issues), work assignment, portal training, and managing the intake and cancellation of ISP relationships. The position serves a dual purpose: procurement and recruitment of ISP Partners, along with ongoing relationship management for a designated group of ISPs.
Vendor Relations Specialist Key Responsibilities:
- Research, identify, and negotiate with suitable vendors, managing the intake and cancellation of ISPs.
- Monitor all inventory systems and gain a thorough understanding of the operations.
- Serve as the primary point of contact for assigned ISPs.
- Manage the JanIt and ISP databases to keep current records on ISP status and procurement stages.
- Maintain an up-to-date list of all vendors, including rates, terms, and contact information, accessible to all business units.
- Proactively assess, clarify, and address ISP needs continuously.
- Assist with ISP payment processes as required.
- Work with ISPs to resolve high level escalations and assist ISPs internally in complying with all KPIs.
- Meet metrics defined by the Director of Vendor Relations, such as reasonable ISP satisfaction, ISP margin, territory margin, ISP retention, client retention, and IVR targets.
- Schedule, coordinate, and lead regular business meetings with independent contractors and field managers.
- Maintain consistent communication with ISPs, TFG employees, and clients.
- Collaborate with other departments to ensure timely reconciliation of ISP billing, payables, vendor startups, and terminations.
- Maintain high levels of customer satisfaction in line with company standards.
Vendor Relations Specialist Qualifications:
- 1-2 years of experience in procurement, purchasing, or a related field.
- English/ Spanish Bilingual preferred
- Tech-savvy with the ability to navigate computer systems efficiently.
- Proficient in Microsoft Excel, Word, and Outlook.
- Strong organizational skills and attention to detail.
- Ability to multitask and manage relationships with vendors and customers.
- Proactive, self-motivated, and capable of taking the initiative.
- Excellent verbal and written communication skills.
- Able to work independently or as part of a team to complete tasks.
- Experience with accounting software is a plus.
- Well-organized, able to manage multiple priorities daily.
