- The contractor shall provide a strategic communications outreach planning support for up to six events that will be identified in the Agency outreach and engagement plan as event at which DCSA leaders will participate as presenters and/or will host a booth. Deliverables include, but are not limited to, a standard event planning playbook, tailored event project plans, conference materials (e.g., briefings and talking points, brochures, slick sheets), meeting agendas for prep sessions, hot washes, event notes, after action reports and lessons learned, and knowledge management implementation with the archiving of all materials. Each of these events will further the objectives in the mission-specific strategic communication strategies. This support will include the following:
- Coordinating the planning for DCSA to participate in at least 6 outreach events each year, including proposing an agenda and project plan, developing materials that align with the mission-specific objectives for all aspects of the event preparations, hosting prep sessions, supporting logistics planning, capturing notes at the event and hot wash sessions with DCSA attendees, and providing after action reports and lessons learned analysis.
- Building and managing a knowledge management repository for all DCSA outreach events.
- Capture the client’s requirements and expectations for each event. Be able to align event milestones, approaches, and activities to these objectives.
- On behalf of the OCCA or mission lead, liaise with vendors, exhibitors, and stakeholders during the event planning process to ensure everything is in order.
- Provide support for event set-up, tear down and follow-up processes.
- Support federal customer with providing information for the event budgets.
- Coordinate activities with federal staff to book venues, talent, photographers, and schedule speakers.
- Conduct final inspections on the day of the event to ensure everything adheres to the client’s standards.
- Coordinate event communication, media, messaging, and associated materials (handouts, schedule, merchandise, press release)
- Conduct outreach to ensure dissemination of event details to customers, public, partners, etc.
- Develop process, monitoring, and management of attendees, RSVPs, briefing / briefer requirements, and ensure senior attendance/protocols are implemented.
- Assess an event’s overall success and submit findings; collect and document attendee details along with other forms of feedback (e.g. surveys) and metrics.
- Complete communication plan to support large events; manage and execute details; coordinate and manage working groups associated with the event – include stakeholders.
- Coordinate with DCSA Public Affairs team and other communication teams.
Qualifications:
- Must have an active Secret level security clearance
- High School Diploma

To visit other company sites, employees must be able to operate a motor vehicle and fly in an aircraft, both of which may require sitting for prolonged periods of time. Employees must possess vision to read printed materials and a computer screen; and hearing and speech to communicate in person, before groups and over the telephone. Standing in work areas and walking between work areas will be required. This position requires an employee to occasionally bend, stoop, kneel, crouch, crawl, climb or balance; reach, push, and pull drawers and doors open and closed. The employee must occasionally lift and/or move up to 20 pounds.
