Practice Manager – Primary Care

Job Summary:
The Practice Manager is responsible for overseeing the day-to-day operations of a primary care office to ensure it runs smoothly, efficiently, and cost-effectively. The role includes integrating and upholding the practice’s healthcare philosophy in daily functions, while serving as a key point of contact for internal and external customers to provide information, assistance, and support.
Key Responsibilities:
Management and Operations:
- Lead and support the team by promoting the organization’s mission, values, and goals.
- Implement quality measures and ensure compliance with practice policies and procedures.
- Supervise, assign, and direct team activities based on observed trends, reports, and feedback.
- Manage staff schedules to align with patient demand and ensure optimal workflow.
- Oversee patient scheduling, reduce wait times, and monitor patient flow to enhance efficiency and identify areas for improvement.
- Ensure daily cash deposits are completed with appropriate documentation and oversee the collection of co-pays, deductibles, and other patient balances at the time of service.
- Manage inventory, order supplies, and report any technical, mechanical, or electrical issues promptly.
Patient Experience:
- Champion the patient experience by demonstrating empathy and professionalism in all interactions.
- Address internal and external customer/patient inquiries and handle patient relations issues in accordance with practice policies.
- Identify and respond to patient or team member concerns in a timely manner.
- Provide feedback and coaching to staff to continuously improve patient service delivery.
Team Leadership and Development:
- Lead recruitment efforts, interview, and onboard new team members.
- Conduct new hire orientation and training, ensuring all team members are equipped to excel in their roles.
- Evaluate team member performance, provide constructive feedback, and conduct formal performance evaluations.
- Coach and mentor staff, facilitating ongoing development and training opportunities.
Qualifications:
- 3-5 years of experience in a management role within a primary care or healthcare setting.
- Experience managing teams with 15 or more staff
- Valid driver’s license and the ability to travel to various office locations as needed.
- Flexibility to accommodate a varied work schedule, including evenings, weekends, and holidays.
- Excellent verbal and written communication skills with a professional demeanor.
- Proficient in Microsoft Office Suite (Outlook, Word) and other relevant software applications.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Demonstrated problem-solving ability with a focus on identifying issues and developing effective solutions.
