Our legal client is seeking an Administrative Assistant to join their team on a Direct Hire basis.
This is a small corporate law firm located in the Loop. A four-year college degree is required. Multitasking skills are required. This person will be responsible for heavy calendar and travel management, along with personal assistant tasks.
Location: Downtown Chicago
Salary: $55-57K
Hours: 8:30 AM - 5:30 PM, 1 hour lunch
Additional Details: 100% onsite
Administrative Assistant Job Responsibilities:
• Transcribe promotional and client legal related such as Agreements, proposals, etc..
• Phone answering and eventually welcoming guests and clients at office location.
• Implementation and upkeep of CRM
• File physical and electronic documents into client files.
• Schedule and send out reminders for: setting up calls; promos; proposals for clients.
• Send out invitation and blast emails through Constant Contact.
• Assist in preparation of promotional event announcements for firm website and updating website as necessary.
• Maintain owner’s calendar, send availability, follow-ups and schedule Zoom calls.
• Send availability and set up calls for two additional lawyers
• Maintain organization of office: opening and routing mail at least three times a week; mail forwarding to clients, both physically and electronically; buys office supplies; waters plants; runs errands for attorneys; etc.
• Collections
• Draft memos and client correspondence on behalf of three executives
• Implement client’s requested revisions into appropriate Agreements/Contracts for review
• Draft rough draft Agreements and corresponding cover letters for review
• Pipeline management – both for prospects and current clients
• Involves tracking when proposals were sent, scheduling follow ups, who recommended us, etc.
