Shipping and Receiving Clerk
SUMMARY:
Responsible for overseeing the timely and accurate shipping and receipt of all incoming and outgoing material and/or products. Compliance with any and all applicable rules, regulations, disclosure, reporting and labeling requirements concerning product content and shipping is major responsibility of role.
Receiving:
• Receive and inspect all incoming materials.
• Work closely with the QA Lab in the quarantine of raw materials.
• Quarantine both approved and rejected materials.
• Sample incoming raw materials using proper safety techniques.
• Print and/or apply labels to product
• Complete transactions in ERP system as required
• Other duties as assigned
Shipping:
• Package, label, rout and ship orders according to customer requirements and in accordance with Spectrum Policy, USA federal law, state law and international requirements.
• Pick, identify and look up orders in Oracle system;
• Print packing lists;
• Assemble orders per SOP’s and regulatory requirements
• Ensure all orders are properly shipped according to freight requirements including:
- ICAO/IATA, USA DOT and IMDG specifications.
- hazardous material labels,
- DOT poison letters,
- “to be refrigerated” stickers and labels,
- UN numbers, quantity,
- limited quantity stickers,
- packing slip,
- special handling instructions,
• Consolidate orders and ensure package is 100% compliant before releasing for shipment.
• Pack orders securely, properly and in compliance with all applicable rules and regulations, (Domestic and International Orders).
• Prepare proper shipping documents, including print invoices and request C of O and NAFTA and any other applicable International Documentation.
• Process orders through UPS, FedEx, LTL for both small packages and bulk orders
• Process International Orders in the system and arrange Pick Up.
• Inspect hazmat orders for accuracy;
• Close shipping process and print manifest;
• Load orders on trucks;
• Pack Will Call’ Orders and provide High Customer Service to the Driver or the Customer displaying professionalism in representing the Company;
• Maintain packaging supplies inventory;
• Other duties as assigned
General and Training:
• Follow all Company policies regarding the activities of the Shipping/Receiving Department
• Actively participate in lean/six sigma and continuous improvement of department and company processes.
• Cross training in other departments will be provided and incumbent is expected to work in other areas as needed and assigned based on business needs and requirements.
• The incumbent must successfully complete the following training within 90 days of hire and maintain appropriate certifications thereafter:
o Complete 49 CFR exam for ground shipments;
o Complete IATA exam for air shipments and international shipments;
o Complete HAZWOPER training, if applicable.
• Maintain a safe, and harassment free work environment.
SUPERVISORY RESPONSIBILITIES:
None.
QUALIFICATIONS
REQUIRED SKILLS/ ABILITIES:
• Strong attention to detail
• Must be team player as department works together as 1 team;
• Excellent time management, organization and follow up skills;
• Ability to prioritize tasks, be flexible and meet deadlines;
• Ability on daily basis to lift and/or move up to 100 pounds;
• Knowledge of industry products and services a plus;
• Fluent in English – written and oral skills required
• Demonstrated Can-Do attitude, Customer Service Focus and Trustworthiness
• Experience with lean/six sigma projects preferred
Work Schedule:
• Must be flexible on work schedule; prefer 10am-6:30pm shift
EDUCATION and/or EXPERIENCE:
• High School diploma or equivalent
• 1- 2 years related experience or training preferred
• Previous Experience and/or permit for operation of forklifts preferred
• Proficient with Microsoft Office Suite preferred
• Experience with Oracle is highly preferred
CERTIFICATES, LICENSES, REGISTRATIONS:
This position requires to have Forklift certification, HAZWOPER Training may be required.
PHYSICAL REQUIREMENTS:
While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; talk or hear; and taste or smell. The employee must have the ability on a daily basis to lift and move up to 100 pounds, and frequently lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
WORK ENVIRONMENT:
While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts, fumes or airborne particles and outside weather conditions. The noise level in the work environment is usually moderate.
