The Quality Document Specialist is a position within the Quality structure supporting Quality Assurance, Quality Control and HSE. This position reports to the Corporate Quality Manager and assists the Sr. Document Control Specialist, and their customers, in the implementation, maintenance, and on-going development of the Quality Management System (QMS) documents. The Quality Document Specialist will maintain data/information systems, revise, edit, format and improve support documents. This position maintains electronic record storage, hard copy retention and coordination of offsite records. These records include procedures, forms, manuals, drawings, District job packages, financial billing, document control approvals and Quality Assurance program activities. This position also serves as an administrative point-of-contact for assigned functional area and assists subject matter experts with ensuring data integrity, communication of changes, report writing and analyzing data flows for process improvement opportunities.
Essential Job Functions
- Maintains a safe, secure and healthy environment by adhering to Company/Customer safety and quality standards and practices and to legal regulations, alerting others regarding potential hazards or concern
- Adheres to and is a champion of the company’s Core Values
- Maintains an accurate Quality Management System document index, with current revision level, for all controlled documents in the company’s QMS System
- Provides QMS Service Line support for technical procedures, training procedures and written procedures for clients
- Manages controlled documents and maintains document integrity including record control, record destruction, and necessary follow-up for retrieval
- Oversees the maintenance of QMS systems and applications including data inputs, outputs, processes, security, and data maintenance, including, researching and resolving problems, unexpected results or process flaws and recommend solutions or alternate methods to meet requirements
- Ensures the administration of QMS systems to ensure timely functionality for users and integrity of Quality data within the systems.
- Follows established procedures for updating, validating, and correcting employee records or other related personnel data.
- Provides QMS technical support during third-party (registrar) audits and customer assessments at the corporate office
- Communicates and partners with the Technical Authorities on Quality processes, clean data, and recommends solutions for continued process and procedural improvements
- Provides support of sales efforts when necessary, including the completion of pre-qualification surveys and submission of controlled quality documents to customer representatives
- Assist and coordinator compiling and reporting on customer satisfaction, including complaints through the receipt of customer surveys.

Job Qualifications
- Experience in an enterprise wide HSE and/or Quality Information Management System required
- Three (3) or more years of experience in a professional writing setting required
- Excellent communications skills and can effectively explain complex processes
- Demonstrated ability to effectively coordinate multiple tasks and able to react to spontaneous changes in priorities
- Experience with prioritizing, working independently and consistently providing output to validate weekly work assignments
- Highly developed organizational skills, attention to detail and the ability to think analytically
- Fluency and mastery with Microsoft Excel (advanced formulas, regression analysis, etc.)
- Fluency and mastery with Microsoft Word (advanced formatting, table creation, and styling, etc.)
- Proficiency with other Microsoft Office products (PowerPoint, Access, Publisher, OneNote, SharePoint etc.)
- Experience using ERP software preferred
