Front Office Receptionist/Administrative Assistant in Menlo Park (onsite, full-time)

Join this highly professional investment firm in their Menlo Park office (onsite position M-F 8:30-5:30pm).
Essential Duties and Responsibilities:
Office Administration
Main receptionist desk and act as first line of communication for the firm.
- Answer incoming phone calls, greet guests.
- Timely distribution of mail and packages.
- Manage conference rooms and guest visits, providing high-touch, welcoming experience for guests including meeting set up/break-down, catering.
- Conduct daily office walkthroughs and order supplies as needed.
- Maintain the overall look of the office, reflecting a polished, professional work environment.
- Coordinate work orders for repairs, oversee janitorial service, window, and carpet cleanings.
- Manage record retention, storage, and shredding.
- Administrator for building access cards and security.
- Assist with ad hoc projects (e.g., FedEx/UPS/USPS, special events, document production, expense reports).
- Office supply inventory.
- Manage Kitchen and Lunch Program
- Order office groceries and team lunches.
- Maintain kitchen tidiness, setup/breakdown for team lunch.
- Coordinate facilities and IT support services
Administrative Assistant duties include but are not limited to:
- General administrative support, including scheduling meetings, maintaining calendar
- Expense reports.
- Travel arrangement - assist with air, hotel, and car service arrangements.
Other Duties & Responsibilities:
• Perform other duties as requested or assigned including reconciling receipts for expenses and company credit cards
Qualifications/Experience:
• 3+ years’ administrative professional experience in a similar front office role.
• Strong computer skills (Excel, Word, and PowerPoint).
• Excellent oral and written communication skills.
• Attention to detail and follow through.
• Able to prioritize tasks and manage multiple projects on a tight deliverable schedule.
• Able to work well in a collaborative, fast-paced environment (may need to wear many hats as needed).
• “No job is too small” attitude.
Salary will depend on experience. $70-85,000 plus bonus and fully paid healthcare benefits!
