The Executive Administrative Assistant is responsible for performing advanced, diversified, and confidential secretarial and administrative duties in support of an executive. The position requires broad experience, strong organizational skills, and knowledge of organizational policies and practices, particularly in healthcare settings. The role involves supporting personnel management, capital budgeting, and various financial processes, while ensuring compliance with policies and regulatory standards.
Responsibilities:
- Provide administrative support to the executive in personnel management, including processing timesheets, payroll notifications, requests for personnel, and handling counseling documents.
- Ensure adherence to organizational policies, Joint Commission standards, and employee education/health requirements.
- Assist with the preparation and monitoring of the capital budget for the executive’s areas of responsibility.
- Support other financial processes and projects, including preparing reports and correspondence requiring technical knowledge.
- Respond to routine and non-routine inquiries using standardized procedures, ensuring timely and accurate communication.
- Perform special projects and additional administrative tasks as required to support the executive.
Requirements:
- Education: Associate's degree or equivalent experience required.
- Experience: 5-7 years of secretarial or relevant administrative experience, preferably in a claims or insurance environment.
- Strong organizational, communication, and problem-solving skills.
- Ability to analyze and resolve straightforward issues using professional judgment.
- Proficiency in handling confidential and sensitive information.
- Excellent time management and multitasking abilities.
