Job Summary
We are seeking a professional and personable Receptionist to be the welcoming face of our company. This position is responsible for greeting clients and visitors, managing incoming calls, and providing general office support. The ideal candidate will be organized, proactive, and capable of handling various administrative tasks while ensuring a positive experience for everyone who enters our office.
Key Responsibilities:
- Greet clients and visitors upon arrival, ensuring they feel welcomed and directed to the appropriate contact.
- Answer and transfer incoming phone calls promptly and professionally.
- Monitor and respond to email requests in a timely manner.
- Assist with setting up and cleaning meeting rooms before and after meetings.
- Provide backup support for office services, including tasks such as scanning and processing incoming mail, applying postage, dropping off mail at designated locations, handling print and scanning requests, and creating interoffice shipments.
- Coordinate and pick up local food orders when needed.
Qualifications:
- Previous experience in a receptionist or customer service role preferred.
- Excellent communication skills, both written and verbal.
- Strong organizational skills with the ability to multi-task and prioritize responsibilities.
- Familiarity with office equipment such as copiers, scanners, and postage machines.
- Professional demeanor and appearance.
- Ability to work both independently and as part of a team in a fast-paced environment.
- Proficiency in Microsoft Office and other standard office software.
