Contract to Permanent Position
Our client is looking for an Office & HR Administrator to join their team. As the go-to person for all Office administrative work, your mission is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. This position is located in San Jose, CA.
Job Responsibilities
Office Management
Ensure the operational excellence of the office and enhance operational procedures/guidelines to cultivate the employee experience
Organize culture initiatives, office socials & own company event operations
Manage relationships with landlord, current vendors, source new vendors as applicable for all office operations, including coordination of services to maintain facilities.
Ensure all safety measures are implemented and maintained.
Manage & distribute in/outgoing mail and manage shipments (domestic and international).
Assist in new hire onboarding process including interviewing, securing workstations, equipment, office supplies, access authorizations & business services
Maintain physical and virtual office records in accordance with internal & secure procedures
Address routine requests for information & escalate complex requests to appropriate staff member
Track & verify budget expenses, reconcile invoices & authorize vendor payments
Collaborate with HR, Compliance and IT to set up all company-wide trainings
May provide some executive support including calendar management, travel coordination & booking, expense tracking, meeting coordination & other special projects
Will help in recruiting and placing new employees and assists with guiding employees through various human resource processes, answering any questions they may have about policies.
Conducts audits of payroll, benefits or other HR programs and recommends corrective action.
Assists with processing of terminations.
Files documents into appropriate employee files.
Assists or prepares correspondence as requested.
Prepares new-employee files.
Key Qualifications
Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
Strong organizational and planning skills in a fast-paced environment
A creative mind with an ability to suggest improvements
Excellent professional communicator with strong written & verbal communication & interpersonal skills, with an employee first mentality & ability to provide/receive constructive feedback in a way that cultivates trust and respect
Strong in operating office equipment & system tools such as Microsoft Office, Zoom, Google Workspace & productivity apps.
Pay range: $35.00 to $40.00 per hour
