Responsibilities
- Support 2 Partners, Principal, and 3 Vice Presidents.
- Coordinate calls and meetings (internal and external) and send out corresponding calendar invitations.
- Set up conference calls, video conferencing, and projector equipment, and book conference rooms for events and meetings.
- Prepare conference rooms for meetings, as well as the breakdown of room post-meeting.
- Maintain multiple calendars and intense email traffic, responding promptly.
- Book heavy domestic and international travel arrangements (flights, hotels, ground transport) and detailed travel itineraries.
- Track business expenses and receipts, log and prepare expense reports.
- Create and maintain documents in PowerPoint, Excel, and Word.
- Provide backup assistance to other team EAs as needed.
- Support the reception area (answering phones/seating guests) as needed.
Ideal Experience
- Bachelor’s Degree
- 5+ years of experience in a professional office environment is required, financial services are preferred.
- Experience with Concur for travel and expenses is preferred.
- Experience with Outlook is required.
- Experience with Salesforce preferred.
- Ability to treat sensitive/confidential information with appropriate discretion.
- Strong sense of urgency, adaptability, flexibility, and resourcefulness.
- Exceptional Microsoft Office Suite capabilities.
- Strong written and verbal communication skills and attention to detail.
- Highly self‐motivated and self-starter.
- Flexibility to operate in a constantly evolving and fast-paced environment.
- Excellent time management skills and ability to multi-task and prioritize work.
