About the Role
Our Level 1 Administrative Specialist role is a perfect opportunity for someone looking to grow within a collaborative, detail-focused environment. You’ll start by learning the ins and outs of our industry, managing crucial administrative tasks such as handling legal documents from our Registered Agent Portal, managing incoming and outgoing mail, and keeping our internal systems organized. You’ll also communicate with clients and partners, ensuring their documents are delivered correctly and promptly.
Primary Responsibilities:
- Download, save, and upload documents from our Registered Agent Vendor to client accounts.
- Open, sort, and distribute incoming mail daily.
- Manage mailing tasks assigned by other teams, including sending documents to state offices.
- Maintain your personal inbox and ensure client inquiries are handled efficiently.
- Keep the office neat and organized.

- Attention to Detail: The ability to catch discrepancies and ensure accuracy is crucial.
- Communication Skills: Strong interpersonal skills for client contact and team collaboration.
- Critical Thinking & Problem-Solving: Ability to think through challenges and resolve issues.
- Confidentiality: Handle sensitive client information with discretion and care.
Education: High School Diploma (or equivalent).
Experience: Office experience preferred; those without office experience should meet all other qualifications.
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer.
