Our real estate investment client is seeking an Executive Assistant to support the Chairman.
Position Overview:
- Responsible for proactively managing the Chairman’s calendar and communications including coordination, execution and prioritization of daily to do list.
- Provide high-level administrative assistance and support to senior management and office personnel in a family-owned business.
- Write, prioritize and edit emails, prioritize and screen phone calls, draft memos, and prepare communications on the executive team’s behalf.
- Gather documents to prepare for meetings and coordinate travel arrangements and testing requirements.
- Manage the Chairman’s duties related to Boards affiliations. Support Board Members when needed.
- Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Chairman, including those of a highly confidential or critical nature.
- Organize meetings, including scheduling, sending reminders and writing agendas.
- Proactively manage personal assets, coordinate the arrival of the Chairman’s family at vacation homes and manage the maintenance and registration of personal vehicles.
- Provide independent solid judgement and initiative on sensitive assignments and deadlines.
Qualifications:
- Exceptional verbal and written communication and organizational skills; commitment to achieving a high level of accuracy and attention to detail.
- Ability to take dictations and edit drafts in a timely manner.
- Ability to demonstrate a high degree of integrity, loyalty and security measures while handling sensitive and confidential information.
- Ability to handle difficult situations with grace and a positive demeanor; cope and overcome stress in a fast-paced work environment.
- Proficiency with computer platforms (Zoom); solid experience with Microsoft Office.
- Ability to maintain organized password logs and troubleshoot phone and computer accessibility issues with a quick turnaround.
- Ability to work and thrive in a fast-paced environment and execute effectively against multiple projects and deadlines.
- Demonstrated ability to take initiative, anticipate needs and exercise sound judgment.
- Ability to work overtime or off-hours as necessary.
Requirements:
- Bachelor's degree or higher education, with evidence of academic or other intellectual distinction
- Ability to communicate clearly and concisely, both verbally and in writing
- Strong research and analytical skills
- Willingness to enthusiastically complete both high-level and low-level tasks
- Exemplary references
- Five (5) Plus years of relevant experience.
