Wealth Management Client Associate
Location: Remote/Offshore (Also open to New Jersey, New York City area)

We are a dynamic financial services firm looking for a skilled data scientist and web app developer to join our company.
The ideal candidate will work closely with our lead analyst to integrate APIs across platforms and build dashboards to inform our investment decision-making.
The candidate should have expertise in the ability to perform time series analysis, manipulate data frames, and perform backtests of various systematic investing strategies.
This role is critical for enhancing our portfolio management capabilities and delivering actionable insights through advanced data analytics.
Your Department and Role
The Client Associate will provide broad client service and sales operations support. With established clients, the Client Associate will serve as the main point of contact and must ensure world class customer service. To succeed in this role, the Client Associate must promptly address and resolve any client inquiries and service requests; organize and maintain client files systematically; and deliver premier client service, ensuring client satisfaction and retention.
It will be your responsibility to understand and internalize clients’ goals, objectives, risk tolerance, and liquidity requirements, which will help us craft Investment Policy Statements, make asset allocation decisions, and build an outside Family Office for our clients.
You will also coordinate with outside parties such as clients Trust and Estates leaders, and Tax and Accounting firms that may support our clients needs.
Responsibilities
Client Service
- Deliver premier client service, ensuring client satisfaction and retention.
- Understand and internalize clients’ goals, objectives, risk tolerance, and liquidity requirements to aid in crafting Investment Policy Statements and making asset allocation decisions.
- Schedule and coordinate meetings with both prospects and established clients.
- Prepare agendas for meetings and ensure follow-up with comprehensive post-meeting notes and next steps.
- Promptly address and resolve any client inquiries and service requests.
- Organize and maintain client files systematically.
- Research and propose thoughtful client gift ideas.
- Manage Charles Schwab relationship
Sales & Marketing Support
- Assist in sales initiatives by creating compelling proposals for prospects.
- Collaborate closely with the sales and marketing teams to roll out, monitor, and refine sales campaigns.
- Keep sales trackers updated, ensuring data integrity and accuracy.
- Contribute to client service trackers, ensuring a seamless client experience.
- Assist in maintaining and updating the referral tracker to optimize business development efforts.
Data Management & Analysis
- Work closely with prospects and their associated teams (such as bookkeepers and accountants) to collect critical financial data like balance sheets and cash flow. Subsequently, analyze this data to glean insights and recommendations.
- Prepare insightful quarterly reviews for clients, ensuring they are kept updated about their financial status and our services.
- Analyze discovery notes to produce 'content mapping', ensuring all client needs are addressed and documented.
Operational Duties
- Facilitate the new account opening process, coordinating legal document signing and ensuring compliance.
- Regularly update Standard Operating Procedures (SOPs) for both sales and client service, ensuring best practices are documented and adhered to.
- Compliance & Finance Support
- Collaborate with the compliance and finance departments, providing necessary client data for compliance evaluations and ensuring that our operations align with regulatory standards.
Qualifications

- Impeccable communication skills, attention to detail, and ability to collaborate with clients and external teams
- Excellent presentation skills (*a case study may be administered during the interview process)
- At least 2 years of experience in a Client Associate role
- Deep empathy and attention to detail to serve and support clients
- Experience in startups or other greenfield operational environments
- Applied knowledge of CRM systems and project management methodology, techniques and tools; experience with Asana is a plus
Education and Certifications
- Bachelor’s degree with strong academic performance is required
- Series 65 is a plus; willingness to obtain a Series 65 is a must.
