Responsibilities:
In this role, the Executive Assistant will play a crucial part in optimizing the Founder’s time and productivity. Key areas of focus will include managing the Founder’s calendar, handling communication, tracking tasks and information, and supporting executive-level decision-making. Specific responsibilities include:
- Meetings, Calendar, and Time ManagementCoordinate and manage the Founder’s daily schedule, including meetings, appointments, and travel plans, ensuring optimal use of time.
- Proactively review upcoming meetings and deadlines, preparing agendas, briefing materials, and follow-up tasks as needed.
- Anticipate scheduling conflicts, communicate adjustments, and prioritize meeting requests to align with Copper Builders’ goals.
Email and Communication Management
- Act as a gatekeeper for all communications, including screening and responding to emails on behalf of the Founder, ensuring only the most relevant matters reach their attention.
- Draft and edit emails, documents, and communications to maintain a professional and consistent voice.
- Manage relationships with clients, partners, and team members through clear and timely communication.
- Tasks and Information Management (Especially in Asana)Track, organize, and complete tasks assigned to the Founder and broader leadership team, utilizing Asana
- Ensure that task information, project deadlines, and deliverables are accurately recorded, monitored, and updated.
- General Administrative SupportExecute additional administrative tasks as assigned, including document management, report generation, and basic research.
- Handle ad hoc requests with a problem-solving mindset and a focus on removing obstacles to the Founder’s productivity.
- Personal SupportPersonal / home responsibilities: helping the executive be effective can mean taking on some of his personal responsibilities at home, which could include car repairs, home management, help with the kids, and things of that nature.
