Job Overview:
We are seeking an organized and detail-oriented Project Coordinator to work alongside the Project Manager to deliver a variety of commercial development projects. The ideal candidate will possess the ability to clearly convey concepts to stakeholders in a concise manner utilizing both written and oral communication skills. Since communication is a two way street, the candidate must also be able to comprehend communications from others and quickly discern the important information. Other essential skills include having the ability to multitask effectively in a fluid environment and possessing strong personal initiative. A solid understanding of the construction process from rezoning to build completion is a big plus.
Key Responsibilities:
Administrative Support
- Help maintain project documentation (project plans, schedules, budgets, reports, etc)
- Facilitate meetings (prepare agendas, capture meeting notes, record action items, etc)
Communication:]
- Serve as a liaison between various stakeholders and facilitate clear two way communication
- Prepare and distribute team action items or project updates, changes, and issues
Financial Tracking
- Support budget management and track expenses
- Prepare and process invoices, ensure compliance with contract terms
Software Tools
- Use software to assist in the completion of work (software is a force multiplier)
- The following tools are deployed within the team today:
Basecamp
Google Suite (Gmail, Sheets, Docs, Drive)
Smartsheet
Qualifications:
- Bachelor’s degree in Business Administration, Project Management, or a related field preferred
- Proven experience in an administrative support role, preferably within project management
- Strong organizational skills with the ability to prioritize tasks and manage time effectively
- Knowledge about general construction practices is preferred
